Project Manager - Design at Lightspeed POS

We are looking for a Product Design Creative Coordinator, who will be a key member of a team of researchers, developers, and designers responsible for creating value for existing and prospective projects via scheduling and coordinating content creation and maintenance. 

Project Design Coordination (85%)

You will coordinate design-related aspects of projects to ensure objectives are accomplished within established time frames, guidelines, and goals. You will lead in the oversight of design, production, scheduling, prioritizing requests, and ensuring quality standards and work processes are followed to ensure a smooth workflow within the creative department. You are expected, with minimal management, to vet incoming requests. Generate schedule projections for resource assignments to ensure optimal use of internal resources. Key responsibilities include keeping existing project activity pertaining to UX up-to-date. 

Other Duties (15%)

Maintain job files, research additions in support of the Product Design department and the greater design organization.

Day-to-Day Activities:

    • Project tracking and scheduling (support to identify/assign resources, identify key internal and regional/global stakeholders, develop a work breakdown structure and timelines, identify dependencies, risks, issue tracking, and reporting);
    • monitoring, tracking and reporting (track against the project plans; review completed activities; identify milestones reached; identify problems or issues; update project plan as needed; produce weekly status reports; as needed conduct regular team meetings, set agenda, document action items and provide updates);
    • documentation management (provide a project documentation environment);
    • issues and escalation – manage/support issues and escalate as appropriate;
    • support post-implementation review (conduct the post-implementation review; document lessons learned; evaluate resources and provide performance feedback, where applicable.);

Primary Responsibilities:

  • Support the Design Leads and design team with overall project management of design projects;
  • intake job requests, review for completeness, prioritize, and distribute tasks to design staff based on the requirements of the project and available resources;
  • assist in project management and oversee design timelines to ensure deadlines are met;
  • track each project as it routes through the creative process ensuring that the design system and templates are followed;
  • ensure all artwork routes through the approval process and all approvals are received while maintaining the project timeline;
  • collaborate with local and regional/remote members of content, design and development teams;
  • communicate to design staff as project requirements and key components of projects evolve; 
  • follow-up with project stakeholders as needed;
  • serve as the first step of the internal review process, checking for quality and accuracy in both written and visual work;
  • work with the Development, Program Management, and Creative teams to continually improve the creative workflow process;
  • custodian to department site for data and files.

Requirements:

  • Bachelor’s degree in Marketing, Communications, Business and/or related field, or equivalent work experience;
  • ability to read and interpret backlogs, engineering Jira entries, and user experience drawings;
  • ability to organize and prioritize multiple projects and customer deadlines with accuracy;
  • ability to work effectively within a team in a fast-paced, deadline-driven environment;
  • ability to negotiate and be flexible when appropriate;
  • ability to build strong working relationships;
  • ability to think strategically, generate creative solutions, manage multiple projects and achieve successful business results rapidly;
