Job Summary:

Reputation.com is looking for a Manager of T&E will be responsible for directing and coordinating all aspects of Travel and Expenses activities. This person will be the internal subject matter expert for the Expensify system, and is expected to manage the relationship with our corporate card vendor, as well as any other internal T&E systems.

This role will manage the Finance department monthly processing, reconciliation, reporting and auditing of all approved travel expense reports. The role will also assist third party firms with the configuration, maintenance, data transfer, and future rollout initiatives of the Travel & Expense system.

This role should be proficient in integrating Concur with various ERP and GL systems, with an emphasis on QuickBooks, Workday, and SAP. The role may also provide support to the global Finance Operations teams relating to the T&E system.

Responsibilities:

    Oversee the day to day T&E operations.
    Work with Finance leadership to establish audit rules.
    Maintain user groups within the system.
    Maintain expense categories for each user group, and ensure alignment with user group approved expense categories.
    Manage communications with Expensify regarding system availability and maintenance.
    Respond to business queries on a timely basis.
    Work with Client Account teams and internal departments to ensure maintenance of user profile data accuracy (adding new hires, ending termed employees, updating department and job assignments, etc..)
    Ensure aged payment items are investigated and resolved.
    Provide monthly reports to Finance department and client account team leads.
    Handle business and management ah-hoc queries and requests.
    Act as liaison with Expensify and technical support. Advise and communicate all Service updates with new features and benefits of the product. Implement new features once presented and approved by senior management.
    Act as liaison with Corporate Credit Card provider for all credit card support and maintenance.
    Attend monthly system update calls hosted by Expensify, and relay all relevant information to user base.
    Building relationships with travelers at all levels within the corporation will be a key success factor for this position.
    Design a process for handling and responding to end user issues with the system, leveraging services provided by Expensify wherever possible.
    Additional duties as assigned.


Qualifications:

    Bachelor’s degree required with an emphasis on Business Administration, Finance or Accounting course work or equivalent work-related experience.
    4+ years experience with an expense system.
    Design of support system escalation procedure for local and remote users, integrating help desk services from Expensify.
    Lead cross-functional teams supporting Corporate and Departmental business initiatives. This will require the ability to generate ideas, engage in effective discussion and collaborate with fellow employees from other functional areas.
    Ability to work to deadlines.
    Excellent phone skills.
    Excellent computer skills to include Microsoft Excel and Word.
    Ability to communicate and work effectively with others.
    Ability to establish priorities and work independently.
    Ability to handle and resolve recurring problems.
    Project Management experience preferred, experience with system migration projects highly preferred.
